Decimal Hours for Payroll Explained

Payroll often records working time in decimal hours because decimal values can be multiplied directly by an hourly pay rate.

One of the most important things to understand is:

7:30 is not the same as 7.30

A colon shows hours and minutes. A decimal point shows a fraction of an hour.

Why does payroll use decimal hours?

Normal clock time is based on 60 minutes in an hour.

Payroll calculations, however, are much easier when time is written as a decimal number.

For example: 8h 30m = 8.50 hours

If the hourly rate is £15:

8.50 × £15 = £127.50

That makes it easy for payroll systems, spreadsheets and timesheets to calculate wages using ordinary decimal arithmetic.

The actual amount of time has not changed. It has simply been written in a different format.

Clock time vs decimal hours

Clock time and decimal hours look similar, but they mean different things.

Clock time

7:30 means 7 hours 30 minutes.

Decimal hours

7.30 hours means 7 hours + 0.30 of an hour.

To convert 0.30 of an hour into minutes:

0.30 × 60 = 18

So: 7.30 decimal hours = 7 hours 18 minutes

By comparison, 30 minutes is half an hour, so:

7h 30m = 7.50 decimal hours

Therefore:

  • 7:30 → 7.50
  • but 7.30 → 7h 18m

This is one of the most common mistakes when entering time into payroll or timesheet systems.

How to convert hours and minutes for payroll

To convert normal hours and minutes into decimal hours, use:

Hours + (minutes ÷ 60) = decimal hours

For example:

8 hours 15 minutes

15 ÷ 60 = 0.25

8 + 0.25 = 8.25 hours

7 hours 45 minutes

45 ÷ 60 = 0.75

7 + 0.75 = 7.75 hours

8 hours 20 minutes

20 ÷ 60 = 0.3333…

8 + 0.3333… = 8.3333… hours

If shown to two decimal places, this may appear as 8.33 hours.

How decimal hours affect your pay

Using the wrong decimal value can change the amount of pay calculated.

Suppose you work 8 hours 45 minutes.

45 minutes equals 0.75 hours, so your correct decimal time is 8.75 hours.

If your hourly rate is £14.00, then:

8.75 × £14 = £122.50

Now compare that with entering the time incorrectly as 8.45 hours:

8.45 × £14 = £118.30

Difference: £4.20

That is why converting minutes correctly matters.

8h 45m = 8.75 hours, not 8.45 hours.

Weekly payroll example

Decimal hours are often used to total a full week’s work.

For example:

Once each day’s time has been converted, the decimal values can be added using ordinary arithmetic.

What about unpaid breaks?

Payroll is normally concerned with paid working time, not simply the total time between arriving and leaving.

For example:

  • Shift: 08:00 to 16:00
  • Total time: 8 hours
  • Unpaid break: 30 minutes
  • Paid working time: 7 hours 30 minutes
  • Decimal hours: 7.50

So although the employee was at work for 8 hours from start to finish, payroll may be based on 7.50 paid hours.

How breaks are treated depends on the employer, contract and payroll system being used, so check the rules that apply to your workplace.

Decimal conversion vs payroll rounding

Decimal conversion and payroll rounding are not the same thing.

Decimal conversion

This is simply converting normal minutes into a fraction of an hour.

20 ÷ 60 = 0.3333…

So 20 minutes = 0.3333… hours. When displayed to two decimal places, this becomes 0.33 hours.

Payroll rounding

A separate payroll or timekeeping rule may round recorded clock-in or clock-out times.

For example, a system may use its own rules for how recorded working times are treated before pay is calculated.

Those rules can vary between employers and software systems.

The important distinction is:

Converting time into decimals is maths. Rounding worked time is a separate policy or system rule.

What about overtime?

Decimal hours can also be used for overtime.

Payroll may keep different types of time separate, such as:

  • normal hours
  • overtime hours
  • enhanced-rate hours
  • weekend or night hours

For example:

  • Normal hours: 37.50
  • Overtime: 3.25
  • Total worked: 40.75 hours

Here, 3.25 hours = 3 hours 15 minutes and 40.75 hours = 40 hours 45 minutes.

The exact way overtime is paid depends on the employer and contract, but the time itself can still be recorded in decimal hours.

How to check decimal hours on your timesheet or payslip

If your timesheet or payroll record contains a decimal-hours figure, you can convert it back into hours and minutes to check what it means.

Use this method:

  1. Keep the whole number as the hours.
  2. Take the decimal part.
  3. Multiply the decimal part by 60.
  4. The result is the number of minutes.

For example: 7.75 hours

The whole number is 7 hours and the decimal part is 0.75.

0.75 × 60 = 45

So: 7.75 hours = 7 hours 45 minutes

Another example: 8.50 hours

0.50 × 60 = 30

So: 8.50 hours = 8 hours 30 minutes

This can be useful when checking a timesheet, payslip or recorded working-hours figure.

Common payroll decimal-hour mistakes

Entering 7:30 as 7.30

This is incorrect if the system expects decimal hours.

7:30 = 7.50 decimal hours

Treating minutes as hundredths

45 minutes does not equal 0.45 hours.

45 minutes = 0.75 hours

Forgetting unpaid breaks

An 8-hour period between starting and finishing may contain an unpaid break, meaning the paid working time is lower.

Rounding too early

Values such as 20 minutes create repeating decimals.

20 minutes = 0.3333…

If several values are being added together, rounding each one too early can sometimes produce a slightly different total.

Assuming every payroll system works the same way

Different systems may store time with different levels of precision or apply different rounding rules.

Adding clock times as though they are decimal numbers

Values written as hours and minutes should not simply be added as ordinary decimal numbers.

For example, 7:30 + 1:45 does not equal 7.30 + 1.45 = 8.75.

Convert the minutes first:

7.50 + 1.75 = 9.25 hours

So: 7:30 + 1:45 = 9.25 hours (9h 15m)
